Admin Assistant

Role Purpose

The purpose of the role is to provide efficient administrative support by ensuring a pleasant, safe, and well-managed office environment, contributing to a positive workplace culture in the India offices, and providing confidential administrative support to the General Manager.

 

Key Responsibilities

 

Office Administration & Environment

  • - Welcome visitors at the office and manage front-desk coordination.
  • - Coordinate meeting room bookings and arrangements.
  • - Manage receiving and dispatching of couriers.
  • - Handle stationery, office supplies, catering arrangements, and related accounts and payments.
  • - Maintain office contact lists and birthday lists.
  • - Ensure office security and safety standards are maintained.
  • - Screen and manage general office phone calls, including the Consumer Care line.
  • - Monitor office cleanliness and efficiency.
  • - Ensure timely upkeep and maintenance of office assets.
  • - Raise Purchase Orders (POs).
  • - Process and manage all admin-related invoices.

 

Team & Business Support

  • - Provide travel support for the team, including hotel bookings, transport, and visa arrangements in line with travel policies.
  • - Organise and coordinate Leadership Team meetings, company meetings, and internal training programs, including logistics, materials, and catering.
  • - Ensure availability of cost-effective and efficient service providers, raising POs where required.
  • - Support Sales and Marketing events as needed.

 

HR & Employee Engagement Support

  • - Support the Office Manager in maintaining HR processes when required.
  • - Own day-to-day employee engagement activities such as birthdays, family day, and similar initiatives.

Skills & Qualifications

 

Essential

  • - 2–3 years of hands-on administrative support or office management experience.
  • - Fluent in spoken and written English and Hindi.
  • - Proficient in MS Excel, Word, and PowerPoint.
  • - Experience handling confidential information.
  •

  • - Effective interpersonal and teamwork abilities.
