Job Description
The Customer Service Executive – Depot Operations will be responsible for overseeing depot operations across 3–4 depots in the Sriperumbudur–Kancheepuram region, ensuring adequate stock availability, timely replenishment against customer orders, efficient cold-chain operations, and adherence to quality and statutory requirements.
The role will act as a key link between depots, customers, Sales, Logistics, Factory, and the regional Supply Chain team, ensuring smooth order fulfilment, accurate inventory management, and efficient day-to-day depot operations.
Key Responsibilities
1. Depot Stock Management
- Ensure adequate stock levels are maintained across all assigned depots.
- Monitor daily stock positions and initiate replenishment to avoid shortages.
- Implement FIFO (First In, First Out) and cold-chain best practices.
- Conduct periodic stock audits to ensure accuracy between physical and book stock.
- Maintain target inventory levels dynamically.
- Finalise short-term demand from depots in coordination with the Sales team.

2. Depot Operations Management
- Oversee day-to-day depot operations including receiving, warehousing, dispatch, and cold-chain management.
- Establish and implement SOPs for depot activities.
- Ensure compliance with safety, hygiene, and refrigeration standards.
- Optimise workflows for efficient handling, storage, and distribution of ice cream products.

3. Customer Order Fulfilment
- Ensure timely replenishment of stocks against customer orders to achieve agreed service targets.
- Coordinate with Logistics and Factory teams for smooth dispatches.
- Track order status and resolve delivery-related issues promptly.
- Act as the escalation point for depot-level customer service issues, including order delays, product quality concerns, and returns.

4. Quality & Compliance
- Ensure depots adhere to quality standards for storage, handling, and dispatch.
- Monitor compliance with FSSAI and other applicable statutory requirements.
- Implement corrective actions in case of quality or compliance deviations.

5. Operational Excellence & MIS
- Develop and maintain SOPs for depot operations.
- Drive efficiency in stock handling, replenishment cycles, and customer service processes.
- Prepare regular MIS reports covering depot performance, stock accuracy, and customer service metrics.

6. Cross-Functional Coordination
- Coordinate closely with Sales, Logistics, Factory, and Supply Chain teams.
- Ensure customer requirements are translated into timely stock and dispatch actions.
- Support resolution of operational issues affecting product availability and customer service.
- Maintain effective communication between depot teams and regional stakeholders.

Qualifications & Experience
- Bachelor's Degree in Commerce, Logistics, Business Administration, or a related field.
- 5+ years of experience in MIS, Inventory Management, or Logistics Auditing.
- Strong knowledge of inventory management, order processing, and statutory compliance.
- Proficiency in MS Excel – Intermediate to Advanced level.
- Experience with ERP and SCM software, particularly SAP and WMS.
- Strong analytical skills with excellent attention to detail.
- Excellent communication and coordination skills.
- Age criteria: 26–32 years.
